The problem it solves

People ops spends hours each week answering the same questions: how many days carry over, what the travel per diem is, when open enrolment closes. The answers already sit in the handbook, but nobody can find them, so every question becomes a DM. Those interruptions crowd out the work that actually needs a person.

How it flows
  1. Question in Slack
  2. Search handbook
  3. Answer with source
  4. Escalate if sensitive

Step-by-step setup

  1. Tidy the handbook first

Give each policy its own Notion page with a clear title and a “Last reviewed” date. Archive drafts and old versions, because the agent will answer from whatever it can find.

  2. Create the agent in Relevance AI

Create a new agent and add Notion as a knowledge source, selecting only the Handbook page and its children. Set the knowledge sync to daily so policy edits show up the next morning.

  3. Paste the system prompt

Use the prompt below as the agent’s core instructions. It forces the agent to link the page it used and to say the handbook does not cover something rather than guess.

  4. Connect Slack

Add the Slack trigger and limit it to the `#ask-people-ops` channel and direct messages to the bot. Reply in threads so answers stay searchable for the next person with the same question.

  5. Route sensitive topics to a person

Add an escalation tool that posts to a private `#people-ops-queue` channel when a question mentions pay, performance, health, harassment, visas or a named colleague. The agent tells the employee someone will follow up and does not attempt an answer.

  6. Review unanswered questions weekly

Every Friday, read the conversations where the agent said the handbook does not cover the topic. Each one is either a missing policy page or a page that needs clearer wording.

Example prompts

Handbook assistant system prompt
You answer employee questions about {{company_name}} policies using only the handbook pages in your knowledge base.

Rules:
1. Answer in three sentences or fewer, then link the Notion page you used.
2. If the handbook does not cover the question, say "The handbook doesn't cover this" and offer to pass it to People Ops. Never guess or use general knowledge about employment law.
3. If the question involves pay, performance, health, harassment, immigration or a specific colleague, do not answer. Reply: "This one needs a person. I've passed it to People Ops and someone will reply today." Then call the escalate tool with the question.
4. If a policy differs by country or office, ask which office the person works in before answering.
