The problem it solves

Case studies close deals, but they stall after the interview. Someone has to re-listen, pull out the numbers, find usable quotes and fit it all into a structure, which takes most of a day. Agencies with a dozen happy clients often have two case studies published.

How it flows
  1. Record interview
  2. Transcribe
  3. Draft case study
  4. Client approval

Step-by-step setup

  1. Run a structured interview

Ask the same six questions every time: the situation before, what they tried first, why they chose you, what changed, the numbers, and what they would tell a peer. For every result they mention, ask for the metric and the timeframe.

  2. Transcribe in Descript

Record the call in Descript or import the Zoom recording, then check the speaker labels so quotes are attributed to the right person. Export the transcript as plain text with speaker names.

  3. Set up the Notion template

Create a Case Studies database with the properties Client, Industry, Headline metric and Status (Draft, With client, Approved, Published). Add a page template with the sections Challenge, Approach, Results and Quote.

  4. Draft with Claude

Create a Claude Project and upload two of your best published case studies as style references. Paste the transcript with the drafting prompt and copy the output into a new page from the template.

  5. Verify every number

Check each metric against the transcript before anything goes to the client. If they said “about 40%”, the draft keeps “about”; never let it round up or sound more precise than the interview.

  6. Send for approval

Share the Notion page with your client contact as a guest with comment access and set Status to With client. Most approvals come back with edits to quotes only.

Example prompts

Case study draft
Below is a transcript of an interview with {{client_name}}, a {{client_industry}} company we worked with on {{project_type}}.

Write a case study draft of 500–700 words with these sections: Challenge, Approach, Results, and one pull quote. Follow the style of the example case studies in this project.

Rules:
- Use only facts stated in the transcript. If a number is approximate, keep it approximate.
- Each result must include the metric, the timeframe and the baseline where given.
- Quotes must be verbatim from the client, trimmed only for filler words.
- After the draft, list every claim that needs the client to confirm a number.
